  • Volume Shadow Copy;
  • a user profile backup;
  • an FSLogix container;
  • a virtual machine or VHD/VHDX;
  • an old HDD or SSD;
  • a deleted partition;
  • a recovered file system;
  • a corporate backup system;
  • an archive of a former employee's computer.

Such an OST file cannot be opened using standard methods in an arbitrary Outlook profile.

  • there is data lost during an incomplete migration.

Recreating the OST file in this situation will destroy the only local copy of these items.

9. Access to additional mail resources has been lost

  • Access to a shared mailbox has been revoked.
  • The shared mailbox has been deleted.
  • Delegated access to another person's mailbox has ended.
  • A project or departmental mailbox has been deleted.
  • Old Public Folders are unavailable.
  • A manager's or former employee's mailbox has been closed.
  • The OST file contains a cached copy of an additional mailbox that is no longer present in the new profile.

Such data may be extracted only with the appropriate authorization.

Legal, audit, and business reasons for converting OST to PST

10. The OST file is corrupted

  • Outlook reports errors in the OST file.
  • The OST file will not open.
  • Outlook freezes or crashes when loading the profile.
  • The tables, headers, indexes, or folder structure are corrupted.
  • The OST file was corrupted by a power failure.
  • Windows or Outlook crashed while data was being written.
  • The drive ran out of free space.
  • The SSD/HDD has bad sectors.
  • The OST file was corrupted by antivirus software, synchronization, or backup operations.
  • The OST file was partially overwritten or truncated.
  • The OST file was recovered after deletion and contains corruption.
  • The corruption occurred after an unsuccessful Office update.
  • Outlook and/or Windows built-in recovery did not help.

If the server mailbox is intact, Microsoft recommends recreating the OST file and synchronizing it again. Specialized recovery is necessary when the server-side copy is missing or incomplete.

11. The OST file was created by a different or older version of the environment

  • The OST file came from an older version of Outlook or Exchange.
  • An obsolete ANSI OST file is being used.
  • The original version of Outlook is no longer installed.
  • The current profile cannot attach the old OST file.
  • The OST file was created by a third-party MAPI system.
  • The original 32-bit or 64-bit Office configuration is unavailable.
  • Classic Outlook is not installed on the computer at all.
  • The conversion must be performed on macOS, Linux, or a mobile device through an online service.

12. An independent archive or selective extraction is required

  • The contents of the OST file must be saved as a PST file for long-term storage.
  • Only selected folders from the OST file need to be imported.
  • The personal mailbox must be separated from the shared mailbox cache.
  • Messages and attachments need to be extracted for an investigation or audit.
  • An old mailbox snapshot needs to be compared with the current one.
  • Data must be saved before the account is deleted.
  • Individual MSG, EML, VCF, or other files are required.
  • A large archive needs to be split into several PST files.
  • The contents must be previewed without attaching the file to Outlook.

An OST file may not contain the entire mailbox

  • an administrator can restore or export the mailbox on the server;
  • only the local cache is corrupted and the server-side copy is complete.

In this case, it is better to create a new OST file and wait for synchronization to finish.

Important: Recovery Toolbox for Outlook cannot recover messages that were never downloaded from the server to the local OST file, completely overwritten areas of the file, or data encrypted with EFS/BitLocker without the corresponding key. Work with a copy of the OST file and keep the original unchanged.
